Data Import/Export

CSV templates, synchronization with external applications

Overview

  • Export lets you download records from ianaiERP for backup, analysis, or template creation.

  • Import lets you add or update records in bulk by uploading a file (feature currently marked beta in the UI).

  • Supports common master and transaction entities (e.g., Items, Vendors, Work Orders, Purchase Orders).

Where to Access

  • From the top-right user menu, choose Data Import/Export.

  • Use the EXPORT and IMPORT tabs at the top of the page.

Key Attributes

Shared

  • Entity: The record type you’re exporting or importing (e.g., ITEM, ITEM CATEGORY, ITEM ATTRIBUTE, ITEM TEMPLATE, ITEM DEFAULT BIN, ITEM BUNDLE, LOT, WORK ORDER, VENDOR, PURCHASE ORDER, RECEIVING, CUSTOMER, ESTIMATE).

  • Company: Target company when your account uses multiple companies.

Export tab

  • Columns: Optional column picker; leave empty to include all available fields.

  • File Type: Choose CSV or Excel.

  • From Date / To Date: Optional date range filter for the selected entity.

  • Export: Generates and downloads the file.

Import tab

  • Drag file here: Upload area for your CSV/Excel file (file size limit shown in UI, e.g., ≤10 MB).

  • Import Data: Starts validation and import for the selected Entity and Company.

Key Functions

Export records

  1. Open Data Import/Export → EXPORT.

  2. Select Entity (e.g., ITEM or WORK ORDER).

  3. (Optional) Select Company and Columns; add From/To Date when useful.

  4. Choose File Type (CSV or Excel).

  5. Click Export to download.

Tips

  • Exporting a small sample first is a good way to see required column names for later imports.

  • Leaving Columns empty exports all fields.

Import records

  1. Open Data Import/Export → IMPORT.

  2. Select Entity and Company.

  3. Prepare your file:

    • Use the column headers as they appear in an export of the same Entity.

    • One row per record. Dates and numbers should use consistent formats.

  4. Drag the file into the upload area (respect the size limit) or click to select it.

  5. Click Import Data to validate and load.

  6. Review any validation messages, correct your file if needed, and re-import.

Best practices

  • Create your import template by running an Export for the same Entity first.

  • Keep files small and focused (e.g., split very large imports by date or category).

  • For multi-company environments, verify the correct Company before importing.

  • Use consistent UOM, Location, Tax Code, and Account names that already exist in the system to avoid reference errors.
