Miscellaneous

This section documents static and semi-static configuration objects you should set up before daily operations. Each entry follows the same structure: Overview / Where to Access / Key Attributes / Creation Workflow / Key Functions / Best Practices.

General Overview

These master data objects are baseline; ianaiERP supports adding and customizing additional attributes and entities to match each client’s workflow

1) Account

Overview

Chart of accounts records used by items and transactions for posting (assets, income, expenses, etc.). Define once and reuse across the system.

Where to Access

Company → Miscellaneous → Accounts

Key Attributes

  • Name: Display name of the account.

  • Type: Asset, Liability, Equity, Income, Expense.

  • Number: Optional account code/number.

  • Currency: If your books use multi-currency.

  • Active: Toggle availability in pickers.

  • Notes: Internal description.

Creation Workflow

  1. Go to Company → Miscellaneous → Accounts → Add New.

  2. Enter Name, Type, (optional) Number/Currency/Notes → Save.

Key Functions

  • Map item posting (Asset/COGS/Income/Expense) during item setup.

  • Select on transactions where manual account selection is needed.

2) Bin Location

Overview

Sub-locations inside a location (aisle, row, shelf, floor stack) for granular storage and picking.

Where to Access

Company → Miscellaneous → Bins

(Enable Bin Tracking on the target Location first: Company → Miscellaneous → Locations → Add New → Bin Tracking ✓)

Key Attributes

  • Bin Number: Unique identifier (allow prefixes for multi-site).

  • Description: Human-readable label.

  • Location: The parent bin-tracked location.

  • Sequence: Display/pick order (0–9999).

  • Active: Availability toggle.

Creation Workflow

  1. Ensure the Location is bin-tracked (create new if needed).

  2. Company → Miscellaneous → Bins → Add New → fill Number, Description, Location, Sequence → Save.

Key Functions

  • Default bin on items; appears on receipts, transfers, picks, shipments.

  • Bin-to-bin and site transfers respect From/To Bin.

3) Class

Overview

Tag for reporting and segmentation (e.g., product line, cost center).

Where to Access

Company → Miscellaneous → Classes

Key Attributes

  • Name / Code: Identifier(s) shown on forms and reports.

  • Description: Internal notes.

  • Parent (optional): Create simple hierarchies.

  • Active: Availability.

Creation Workflow

Miscellaneous → Classes → Add New → fill fields → Save.

Key Functions

  • Assign on items and transactions for sliced reporting.

4) External Channel

Overview

Represents sales/fulfillment channels (e.g., webstores, marketplaces, EDI, manual). Controls source tagging and integration options.

Where to Access

Miscellaneous → External Channels

Key Attributes

  • Channel Name: Display label.

  • Type: Shopify, Amazon, Marketplace, EDI, Manual, etc.

  • Endpoint / Store URL / Credentials: If integrated.

  • Sync Options: Orders, inventory, pricing (when applicable).

  • Active: Availability.

Creation Workflow

Miscellaneous → External Channels → Add New → enter Name, Type, and connection fields (if used) → Save.

Key Functions

  • Tag orders by channel; drive channel-specific pricing/rules.

  • Filter dashboards and reports by channel.

5) Department

Overview

Organizational unit (e.g., Production, QA, Sales) used for responsibility and reporting.

Where to Access

Miscellaneous → Departments

Key Attributes

  • Name / Code, Description, Parent (optional), Active

Creation Workflow

Miscellaneous → Departments → Add New → fill fields → Save.

Key Functions

  • Stamp on transactions (e.g., builds, POs) for departmental views.

6) Payment Method

Overview

Defines how payments are tendered/received on sales and purchases.

Where to Access

Miscellaneous → Payment Methods

Key Attributes

  • Name: e.g., Cash, Credit Card, ACH, Wire, Check.

  • Processor / Account Ref (optional): If used.

  • Active

Creation Workflow

Miscellaneous → Payment Methods → Add New → fill fields → Save.

Key Functions

  • Default onto receivables/payables documents; filter receipts.

7) Sales Rep

Overview

Maintains the roster of sales representatives for assignment, reporting, and commission tracking (if used).

Where to Access

Miscellaneous → Sales Reps

Key Attributes

  • Name

  • Email / Phone

  • User Link (optional): Tie to a login user.

  • Commission % (optional)

  • Active

Miscellaneous → Sales Reps → Add New → fill fields → Save.

Key Functions

  • Assign on customers and sales transactions; filter dashboards.

8) Ship Method

Overview

Named shipping methods combining carrier and service for consistent selection and rating/labeling.

Where to Access

Miscellaneous → Ship Methods

Key Attributes

  • Name: e.g., UPS Ground, FedEx 2Day.

  • Carrier / Service Level

  • Account Number (optional)

  • Default (optional)

  • Active

Creation Workflow

Miscellaneous → Ship Methods → Add New → fill fields → Save.

Key Functions

  • Default onto orders/shipments; used in rate shopping and labels.

9) Tax Code

Overview

Tax application code selected on items and customers; determines which tax agency/rates apply.

Where to Access

Company → Miscellaneous → Tax Codes

Key Attributes

  • Name / Code

  • Agency: Link to Tax Agency.

  • Calculation / Applicability: Goods/services, taxable/exempt.

  • Active

Creation Workflow

Miscellaneous → Tax Codes → Add New → select Agency, set properties → Save.

Key Functions

  • Appears on sales/purchase lines to compute tax.

Best Practices

  • Create explicit exempt codes (e.g., OUT-OF-STATE, RESELLER).

10) Tax Agency

Overview

Authority you report and remit taxes to.

Where to Access

Miscellaneous → Tax Agencies

Key Attributes

  • Name

  • Jurisdiction: Country/State/Province.

  • Registration ID

  • Filing Frequency: Monthly/Quarterly/Annual.

  • Payable Account: Liability account mapping.

  • Active

Miscellaneous → Tax Agencies → Add New → fill fields → Save.

Key Functions

  • Used by Tax Codes and Rates to route liabilities.

Best Practices

  • One agency per jurisdiction/registration to keep filings clean.

11) Tax Rate

Overview

Percentage rate tied to an agency (and often a code) with effective dates.

Where to Access

Miscellaneous → Tax Rates

Key Attributes

  • Name

  • Agency: Link to Tax Agency.

  • Rate %

  • Effective Date / End Date

  • Active

Creation Workflow

Miscellaneous → Tax Rates → Add New → set Agency, Rate, Dates → Save.

Key Functions

  • Engine uses the active rate per date/jurisdiction during tax calc.

12) Payment Term

Overview

Defines due dates and early-payment discounts for AR/AP.

Where to Access

Miscellaneous → Payment Terms

Key Attributes

  • Name: e.g., Net 30, 2% 10 Net 30.

  • Net Days

  • Discount % / Discount Days (optional)

  • End-of-Month (optional)

  • Active

Creation Workflow

Company → Miscellaneous → Payment Terms → Add New → fill fields → Save.

Key Functions

  • Defaults on customers/vendors; drives due dates and aging.

13) Units of Measure (UOM)

Overview

Base and alternate units for buying/selling/stocking items with conversions.

Where to Access

  • Enable: Settings → Inventory SettingsUse Units of Measure ✓ → Save

  • Define units: Company → Miscellaneous → Units of Measure

  • Per-item setup: Inventory → Items → Base UOM + Custom UOMs

Key Attributes

UOM (global)

  • Name (e.g., Case, Pallet)

  • Abbreviation (1–5 chars, must start with a letter)

  • Active

Per Item

  • Base UOM: Smallest common unit (not changeable after set).

  • Custom UOMs: UOM, Conversion (to base), optional Sales Price / Purchase Cost overrides.

Creation Workflow

  1. Settings → Inventory → enable Use Units of Measure.

  2. Company → Miscellaneous → Units of Measure → Add New (as needed).

  3. Inventory → Items → set Base UOMCustom UOMsAdd UOM with Conversion (and optional price/cost) → Save.

14) Vendor-Item Catalog

Overview

Per-vendor purchasing details per item (vendor PN, UOM, conversion, price, lead time). Drives PO autofill.

Where to Access

Miscellaneous → Vendor-Item Catalog

Key Attributes

  • Item

  • Vendor

  • Primary: Preferred source toggle.

  • Vendor Part Number

  • UOM / UOM Conversion: Vendor’s unit and conversion to base.

  • Unit Purchase Price

  • Lead Time (optional)

  • Active

Creation Workflow

Option A — From Item

  1. Inventory → Items → edit → set Preferred Vendor and Vendor Part NumberSave.

Option B — Catalog

  1. Miscellaneous → Vendor-Item Catalog → Add New.

  2. Select Item, Vendor, (optional Primary), Part Number, UOM/Conversion, Unit Purchase Price → Save.

15) Worker

Overview

Factory personnel resources used for routing operations and production tracking.

Where to Access

Miscellaneous → Workers

Key Attributes

  • Name / Code

  • Email / Phone

  • Default Work Center (optional)

  • Hourly Rate (optional)

  • Active

Creation Workflow

Miscellaneous → Workers → Add New → fill fields → Save.

Key Functions

  • Assign in production contexts (sign-on to operations; cost capture if used).

16) Customer Type

Overview

Segmentation bucket for customers (Wholesale, Retail, VIP, etc.) used for pricing and reporting.

Where to Access

Miscellaneous → Customer Types

Key Attributes

  • Name / Code

  • Description

  • Active

Creation Workflow

Miscellaneous → Customer Types → Add New → fill fields → Save.

Key Functions

  • Filter and report by type; use as a target in Price Rules.

17) Project Code

Overview

Project/job identifier to tag costs and activities across documents.

Key Attributes

  • Code / Name

  • Description

Company → Miscellaneous → Project Codes → Add New → fill fields → Save.

Key Functions

  • Select on builds, POs, SOs, etc. for project roll-up views.

18) Custom Fields

Overview

Add tailored data fields to items, transactions, and other records. Values can flow to child transactions, lists, exports, and templates.

Where to Access

Miscellaneous → Custom Fields

Key Attributes

  • Field Label: Unique name.

  • Field Type: Text / Number / Money / Date / Boolean / Choice / Multichoice / List / Calculation.

  • Default Value (optional)

  • Required (optional)

  • Entity Names: Select which entities (Inventory, Sales, Purchasing, Manufacturing, Shipping, etc.) the field applies to.

  • Choices: Options for Choice/Multichoice.

  • Active

Creation Workflow

  1. Miscellaneous → Custom Fields → Add New.

  2. Enter Label, choose Field Type, set Default/Required, select Entity Names, define Choices if applicable → Save.

  3. (Optional) Re-order/resize on edit pages: gear (⚙) → Custom Fields section → drag to order; set width 1–6.

19) Work Center

Overview

Manufacturing resource definition used by routing operations for capacity and cost.

Where to Access

Manufacturing → Work Centers

Key Attributes

  • Name / Code

  • Enabled: Usable in routing/work orders.

  • Description

  • Location

  • Cost Items: Labor, Machine, Overhead, Setup (rates).

  • Capacity / Hours / Efficiency (where configured)

Creation Workflow

Manufacturing → Work Centers → New Work Center → enter Name/Code/Description/Location → add cost items and capacity parameters → Save.

20) Price Rules

Overview

Rule engine for pricing: fixed prices, discounts, markups, and conditional overrides by item/category, customer/customer type, channel, date range, quantity tiers, etc.

Where to Access

Miscellaneous → Price Rules

Key Attributes

  • Rule Name

  • Rule Type: Fixed Price / Discount % / Markup / (Formula-based if enabled).

  • Targets: Item, Item Category, Item Class.

  • Audience: Customer, Customer Type, Channel (External Channel).

  • Conditions: Qty thresholds, date ranges, location/channel filters.

  • Priority / Stack: Priority order and whether rule stacks with others.

  • Active / Start–End Date

Creation Workflow

  1. Miscellaneous → Price Rules → Add New.

  2. Choose Rule Type and define Targets (item/category/class).

  3. Set Audience (customer / customer type / channel).

  4. Add Conditions (qty breaks, date range, etc.).

  5. Define value (fixed price, % discount, markup) and Priority/StackingSave.

  6. Test on a sample order: add the item and customer/channel to confirm applied price.

Key Functions

  • Auto-applies eligible rule on order entry; respects priority and stacking.

  • Supports channel-specific pricing and customer-segment discounts.

  • Enables quantity tiers via condition thresholds.

Best Practices

  • Keep rules narrow and explicit; avoid overlapping broad rules.

  • Use priorities to resolve conflicts; prefer one source of truth per scenario.

  • Review rule effectiveness and deactivate stale promos.
