Inventory Transfer

Inventory transfers move items between locations in ianaiERP. They are essential for multi-location inventory and optimized stock distribution, especially when you need to reposition stock efficiently.

Overview

  • Multi-Site Distribution: Enables balanced stock distribution across physical locations.
  • Valuation Consistency: Keeps valuation consistent with your configured company-wide costing method (FIFO or Moving Average Cost).
  • No Value Change: A transfer moves quantity only — total stock value is unchanged, since nothing is bought, sold, or written off.
  • Operational Control: Supports warehouse compliance via internal notes and a tracking number for the movement.

Where to Access

Inventory ▸ Transfer in the left sidebar. Click Add New (top-right) to start a new transfer record.

Key Attributes

Transfer vs. Adjustment vs. Relocation

ScreenWhat it does
TransferMoves stock between two of your own company's locations. Quantity only — value is unchanged.
AdjustmentCorrects on-hand quantity and value at one location, against an account you choose.
RelocationShips stock from your company to a different company in a multi-company workspace, with its own delivery lifecycle.

From Location and To Location must be different — a transfer cannot start and end at the same location. Moving stock between two bins in one warehouse is done as a Transfer between two locations, each with its own bin, not as a separate "bin-to-bin" action.

Header Fields (Transfer Record)

FieldDescription
Date/TimeWhen the transfer takes place; the Transfer Number is generated from it
Tracking NumberOptional free-text reference for the physical movement
From LocationSource location losing the stock
To LocationDestination location receiving the stock
Department / Project CodeOptional tags for cost and reporting, when those company settings are on
Internal NotesFree-text context for the transfer

Per-Item Lines

FieldDescription
ItemThe specific item being transferred — only Inventory and Assembly items with location tracking enabled can be added
On HandCurrent physical quantity at the source location (display-only)
QuantityUnits being repositioned
From Bin / To BinShown when the corresponding location has bin tracking; changing From or To Location clears that side's bin

Auto Allocate Stock takes the items and quantities you've entered and asks the system to spread them across what's actually available at the From Location — it replaces your line list with the result, so use it before hand-picking bins rather than after.

Key Functions

How to Create an Inventory Transfer

  1. Go to Inventory ▸ Transfer ▸ Add New.
  2. Set the transaction Date/Time, select From Location and To Location (they must be different), and add an optional Tracking Number.
  3. Add line items: select the item and enter the transfer Quantity. If the locations use bins, map From Bin and To Bin, or use Auto Allocate Stock to have the system fill lines for you.
  4. Click Save — the stock moves immediately; there is nothing further to approve or confirm.
