Onboarding
Onboarding is a guided packet a new hire fills in themselves, followed by an employer-side review that a manager or HR admin completes. It exists to collect the handful of things every hire needs on file — contact details, tax withholding, direct deposit, work-eligibility attestation, and signatures — without an admin having to key them all in on the employee's behalf.
Where it lives
- My Work → Overview shows a "Finish Your Onboarding" card for an employee with an incomplete packet, linking straight into the wizard. Once everything is submitted or complete, the card disappears from the dashboard.
- The employee's own onboarding opens from that card, or from My Work.
- A manager or admin reviews a specific employee's onboarding from the Onboarding button on that employee's detail page (visible to anyone who can approve).
The employee's steps
The packet is a seven-step wizard: Welcome, Personal details (phone, address, emergency contact), Employment authorization (a U.S. hire completes the Form I-9 Section 1 attestation categories; other countries get a free-text right-to-work status, plus the work-location state/region), Tax withholding (U.S.: filing status; other countries: dependents/children), Direct deposit (bank name, account and routing numbers), Documents (any signature documents the company has assigned — opened and signed through a secure link, only shown if the company requires them), and Review & submit.
Each step can be saved and continued later; the sidebar stepper shows which steps are already complete. Submitting sends the whole packet to the employer for review — from that point the employee's information is locked, and they see a "waiting for employer review" state instead of the form. If the reviewer sends it back, the employee sees the review notes and can update and resubmit.
The wizard is explicit that a manager reviewing a submitted packet only sees completion indicators for the tax and bank-deposit steps, never the values themselves.
The employer's review
Once an employee submits, the reviewer works through three steps: Employee packet (a read-only completion checklist — personal/emergency details, tax election, direct deposit, work-eligibility attestation, and signatures if required), Employer verification (a country-specific screen — e.g. completing the Form I-9 Section 2 review in the U.S., a right-to-work check in the U.K., or work-authorization verification in Korea — where the reviewer records which document type was examined and the verification date), and Finalize, where the reviewer explicitly confirms the official verification was completed outside the system before choosing Complete onboarding or Return for changes with a note explaining what the employee needs to fix.
The system is deliberately explicit that it tracks completion, not the legal process itself: a banner on the verification step states that this record does not replace the official government form or the evidence-retention requirements that apply in the employee's work country.
Status at a glance
An onboarding packet moves through: the employee actively filling it in, submitted and waiting on the employer, sent back with changes requested, and finally completed — reflected both in the wizard's own status banner and in the "Finish Your Onboarding" checklist card on the employee's dashboard, which lists exactly which steps (tax info, bank account, work-eligibility attestation, signatures) are still outstanding.
