HR Settings

HR Settings is a workspace of configuration tabs behind the HR module. This page covers four of them — Compliance, Documents, Member Groups, and Daily Tasks. The other tabs in the same workspace (Leave Types, Benefits, Elections, Holidays, Shift Patterns, General) are covered in their own guides — see Related docs below.

Compliance

A read-only view of the statutory rules ianaiERP uses to calculate payroll and leave for your country: each rule has a code, a category (Leave, Overtime, Tax, Insurance, or Validation), a version, and an effective date range. Filter by country or category, and click a rule to see its underlying configuration.

Three actions sit above the table:

  • Init Country Compliance seeds the starter set of rules for a country you choose — useful the first time you configure a new country.
  • Compliance Template Sync compares your company's rules against the latest published templates and shows each one's status: in sync, an update is available, customized (you've changed it from the template), missing, unverified, or in conflict. Review & sync opens a picker where you choose exactly which updates to bring in; a rule you've customized is skipped unless you explicitly opt in to overwrite it.
  • Auto-apply statutory components is a toggle: when on, a payslip that's missing a required statutory tax or insurance component gets it added automatically based on the employee's country and work location, instead of requiring every pay structure to list it explicitly.

Backfill Night Hours recomputes night-shift differential hours on existing attendance records for a date range you pick — records already folded into an approved timesheet are left alone. It's a one-off correction tool, not something that runs automatically.

Documents

Chooses which print template is used by default for each HR document your company issues — communication broadcasts, and every certificate type (employment verification, income verification, employment history, length-of-service verification, separation notice, wage and tax statement, reinstatement letter, and any custom type you've added). For each document you can pick its default template, Add a new one in the visual template designer, Edit the current one, or Copy it to start a variant. Add Custom Type lets you define your own certificate type with a name and a code. This page only affects HR's own documents — the company-wide print defaults live under Settings → Print.

Member Groups

A member group is a named bucket of employees — for example, "Full-time office" or "Warehouse shift" — that sets shared defaults across five things at once:

  • A work schedule: which days count as work days, clock-in/clock-out times, break minutes, and how time is tracked.
  • An overtime policy: allowed, requiring approval, or prohibited, with optional daily/weekly hour caps and an alert toggle.
  • A default pay structure.
  • Which leave types the group's employees are eligible for.
  • Which benefit types the group's employees are eligible for.

One group can be marked the default that new employees fall into. This is also what Benefit Elections and Pay Records ultimately draw their eligibility from — see Benefits and Payroll Overview.

Daily Tasks

Daily Task Templates define the recurring checklist items that show up for employees, managers, admins, or payroll staff. Each template has a category (Work, Payroll, Compliance, or Document), a frequency (Daily, Weekly, Monthly, Quarterly, or Once), a required role, an icon, and a sort order controlling where it appears in the list. Initialize Defaults seeds a starter set, optionally scoped to a country; templates that came from that seeding are marked System.
