Workforce & Scheduling

Workforce is your roster of technicians and other field personnel — the people Field Service dispatches to jobs. It's the same Workforce list used by the Project module, so if your company runs both, it's one roster shared across them.

Where it lives

Miscellaneous → Workforce. This list is visible if your plan includes Project, Field Service, or both. For the full set of fields on a workforce record — Type, Source (Employee or Vendor), Hourly Rate, Skills, Certifications, and Work Center — see the Workforce entry on the Miscellaneous page.

Work Schedule

Each workforce record has a Work Schedule tab, separate from the general fields:

  • A Timezone for the person, defaulting to your company's
  • Default Working Hours (start and end time)
  • A day-by-day toggle for Monday through Sunday — turn a day on or off and set its own start/end time, or use Apply default to weekdays to set Monday–Friday to the default hours at once and leave the weekend off

This schedule is what the Dispatch Board and other capacity calculations use to know when someone is actually available, so it's worth keeping current rather than leaving everyone on the default Monday–Friday 9–5.

How dispatch uses the workforce

On the Field Service dashboard's Dispatch Board, every active workforce member appears as a row (or, filtered to one person, as their own calendar). Dragging a pending service request onto a technician's row schedules them for it; dragging an existing job onto a different technician's row reassigns it. The small status dot next to a technician's name on the Workforce panel reflects whether their record is Active, not a live "currently on a job" status — for what someone is actually doing right now, look at the dispatch itself (Assigned, En Route, On Site, Completed).

A technician's Skills and Certifications are shown when browsing the Workforce list and panel, useful for judging who's qualified for a job, though the Dispatch Board doesn't filter or restrict assignment by them — that judgment is left to whoever is scheduling.

Relationship to Project's Resource Planning

Project has its own Resource Planning page, which uses the same Workforce (and Asset) records to build percentage-based allocations across multiple projects, with utilization and availability views. Field Service doesn't use that allocation model — it assigns a technician to a service request for a specific dispatch window through the Dispatch Board instead. A person can be tracked both ways at once: staffed onto projects through Resource Planning, and separately dispatched to service calls through Field Service.
